Overview

Main Screen

The Rio Messaging Server Main Screen is the entry point for Server Maintenance. From the Main Screen you can view the history of Message requests and the current activity within the Server program.

The Main Screen of the Rio Messaging server gives you access to the "Messaging Output" view, the "System View" and configuration options.

Output history

This view shows the history of all the requests dealt with by the Rio Messaging Server. It is possible from this screen to see quickly whether a Message has been sent, weather a Message was not sent or if problems where encountered when sending a Message.

Rio on-screen symbols

In order to quickly identify the status of a Message, the Rio server makes use of the following symbols

Rio on-screen symbols
The Message has been sent successfully
The Message has not been sent
The Message failed, but has been retried

System View

System view

This view shows the current activity within the Rio Messaging server. It shows when a user logs into the Rio Messaging system, the current status of devices, when a Message request has been received and when a user has requested address book facilities. The details displayed in the "System View" are also written to a text based log file, which is stored in the Rio Messaging server program directory.

System Options

The Rio Messaging system has many parameters that control its operation - for example
  • how many log records are to be stored within the system,
  • the maximum size of a Message allowed by the system
  • the location of the Drop directory.

The System Options can be reached by selecting Edit -> Options

Messaging options

These are the parameters that are enforced when a Message is sent

Message parameters
Maximum Size The Maximum size of a Message that a User can send
Messager Size The Maximum size of a Message that a recipient can accept. A very long Message will be split into several shorter parts and each will be sent as a Message
Batching Size If using dialup the number of Messages to hold before transmitting a group of Messages

Retries
Number of The number of retries that can be performed before reporting an error
Interval The number of seconds to wait before retrying
Timeout on Send The length of time to wait before a timeout occurs

Log Files

This is used to limit the size of Log Files and thus prevent disk, or database, overload.


User Information

Information is stored for each user and a list of sign-uped users is maintained on the Rio server. A user will not be able to use the system unless they are sign-uped on the Server. This is an important security feature. It enables the Rio Messaging system to track which client has tried to send a message and to which computer to send a response to when a Messaging request has completed.

To view a list of Users

On the Rio Server, select the Users option from the Edit menu.
Users

Your License determines both the maximum number of Users that you can sign-up and the maximum number of concurrent users. The License section describes how to upgrade your system.

Adding a User

To add a new User press the "New" button, this will then load the "User Properties" screen.

User Properties

User Details
User Id Set this to their network logon name
Access Level Select from System Manager, Department Manager or User
Department responsible for Specify the Department they are responsible for or a member of
Pop Up Check this box if they are to receive Pop Up messages about message progress
Confirm Sent Check this box if they are to be informed when a message has been sent
Send Signature Check this box if the User's signature is to be appended to all messages

Modifying a User's entry

To modify existing user details, select the name of the user in the User list and press the "Properties" button, this will then load the "User Properties" screen. Make the required changes and then press "OK". These new details will then be saved to the Rio Messaging database.

Deleting a User's entry

To delete a User's entry from the Rio Messaging system, select their name in the User list and press the "Remove" button. You will then be asked to confirm your choice.

Format of the CSV file

The CSV file produced on Export and required for Import contains 7 fields. Each field may, or may not, be surrounded by quotation marks. The 7 fields are:
CSV file format
1 first name the person's given name
2 surname the person's family name
3 subid the person's Messager number or Callsign
4 Messagertype the person's Messager type
5 msgsize maximum message size for this Messager
6 provider the service provider for this Messager
7 booktype the address book type

for example an Exported file might contain:

first name, surname, subid, Messagertype, msgsize, provider, booktype

The first line of the CSV file is is the column titles of the fields. It is produced on export and required - exactly as shown - on import.

Notes about Import files

On import, the Messager type, message size, provider and booktype can be left empty. This file will be imported:

first name,surname,subid,Messagertype,msgsize,provider,booktype

The Messager type, message size and provider will be given system default values. The booktype will be allocated depending on which Import Menu is used to import the file.

Note that imported data is added to the database - it does not replace existing entries. Thus it is quite possible to have more than one entry each for "John Smith", "Ranjit Singh" or "Junior".

Exporting data from an address book

On the Rio Server select Database from the File menu. Then select Export.

From this screen it is possible to export the following address books

  • All contacts in all the address books
  • The Corporate address book
  • A Departments address book
  • A Private address book

You will be asked to specify which type of Address Book you wish to export. If you have chosen to export a Department or User's Address Book you will then be asked to select the Department or User from a list.  Lastly you will be asked to select the destination path for the file that you wish to export.

Importing data to an address book

On the Rio Server select Database from the File menu. Then select Import.

You will be asked to specify which type of Address Book you wish to import. If you have chosen to import a Department or User's Address Book you will then be asked to select the Department or User from a list. Lastly you will be asked to select the file that you wish to import.
 
Don't forget that your data will be added to the database - so you can easily end up with duplicate entries if you are not careful. Do not re-import entries that exist in your database.
